If you volunteer for one of our events, we may also collect demographic info (only if relevant and always optional), emergency contacts, shift preferences, and accessibility requirements. This is to keep you safe, supported, and caffeinated.

3. Terms & Conditions of Service
This section sets out how we work with you when you hire or collaborate with Safe N’ Sounds. It’s not a legal contract, but it does set the expectations clearly.
3.1 Services We Offer
Safe N’ Sounds provides a wide range of event services including:
• Event & Festival Operations
• Stage & Artist Liaison
• DJ Services & Artist Bookings
• Technical Support (e.g. Wi-Fi, radios, power logistics)
• Volunteer Coordination & Stewarding
• Compliance Planning (e.g. Martyn’s Law readiness, ESG advice)
Each project or event will be scoped and agreed in writing before any work begins.
3.2 Booking & Payment
All bookings are subject to availability and require written confirmation. For most projects:
• A deposit may be required to secure the booking
• Final balances are due within 14 calendar days of invoice
• We accept payment by bank transfer or PayPal (no cheques, goats, or exposure please)
Late payments may incur interest (at a reasonable rate), and if we’ve already started work, we reserve the right to pause delivery until the balance is cleared.
3.3 Cancellations & Rescheduling
We understand that plans change. If you need to cancel or reschedule:
• More than 30 days’ notice = full refund (minus non-refundable expenses)
• 14 to 29 days’ notice = 50% refund
• Less than 14 days’ notice = no refund
If Safe N’ Sounds ever needs to cancel, you’ll receive a full refund and (if appropriate) our help in finding a suitable replacement.
3.4 Liability
We carry appropriate public liability insurance and take every reasonable precaution to protect you, your audience, and your event. However, we cannot be held responsible for:
• Events beyond our control (extreme weather, power failures, etc.)
• Injuries or losses due to third-party equipment or contractors
• Damage caused by negligence outside our remit (e.g. a rogue crowd surfer knocking over a lighting rig)
You agree to maintain your own appropriate insurance, licences, and permissions for any events you run.
3.5 Expectations & Conduct
We aim to work in partnership with clients. That means timely communication, mutual respect, and good vibes all round. We expect all event stakeholders—including crew, artists, and partners—to treat each other (and us) with dignity, respect, and professionalism.
Any form of harassment, discrimination, or unsafe working conditions may result in us withdrawing services with immediate effect, without refund.
3.6 Updates to This Policy
We reserve the right to update these terms from time to time. If the changes are significant, we’ll notify you directly if you’re a current client or subscriber. Otherwise, check this page occasionally for the latest version.
